Short definitions of the terms you’ll meet when evaluating case management, workflow orchestration, document processing, and compliance software. Each entry starts with the general meaning, then says how QBO handles it and where to read more.
Agentic case management
Section titled “Agentic case management”Case management in which AI agents work cases alongside people. Agents take on defined tasks, such as reading a document, updating a record, or drafting a reply, while the case’s workflow, rules, and security decide what happens next.
In QBO, an AI agent is a participant in the case, not the one running it. See how QBO orchestrates AI agents and case management in QBO.
Agentic orchestration
Section titled “Agentic orchestration”Coordinating AI agents, people, and systems inside one governed process. The workflow, not the agent, decides when an agent runs, on what data, under whose security, and where its result goes.
In QBO, AI operations are steps in a workflow, and their results land as ordinary data inside your audit trail. Read QBO orchestrates AI. Not the other way around.
AI agent
Section titled “AI agent”A large language model set up with instructions and a job to do. In QBO, an agent is configured with a model provider (Claude, Gemini, OpenAI, or Amazon Bedrock) and instructions, and performs operations such as classifying documents, reviewing records, updating fields, importing records from a document, completing forms, and drafting replies.
An agent can be given its own user account, so the work it does is recorded under that account. See the AI documentation.
API-first
Section titled “API-first”A design in which everything the application can do is also available to other systems through an API, not only through screens. In QBO, every module exposes the same pattern, /api/{module}/{operation}, so integrations follow one convention.
See workflow APIs and integrations and API & Architecture.
Asynchronous processing (queues)
Section titled “Asynchronous processing (queues)”Running long or bulk work in the background instead of making a user or a calling system wait. The request is placed on a queue and processed by another server.
In QBO, any operation can be queued by adding queue to its path, /api/{module}/queue/{operation}, which is the pattern for batch jobs and document generation. See API & Architecture.
Audit trail
Section titled “Audit trail”A record of who did what, and when, that you can show an auditor or examiner. In QBO, records carry who created and last updated them, completed worklist items record who completed them, and every sign-in, API key use, lockout, and impersonation is written to the security log. AI usage is recorded against the user it ran as.
See compliance automation and audit trails and Security.
Business process management (BPM)
Section titled “Business process management (BPM)”A discipline, and a category of software, for modeling business processes and running them. Traditional BPM centers on a process diagram that tasks follow from start to finish.
Workflow orchestration is a related approach that coordinates people, systems, documents, and AI around the case: steps start as soon as their prerequisites are met, so independent work runs at the same time.
Case management
Section titled “Case management”Organizing work around a case: one record that holds everything about a matter, including its documents, tasks, decisions, parties, and deadlines, from open to close.
In QBO, a process (case) attaches to any record. When it opens, it starts its workflow and its cost ledger. See case management in QBO and Processes (Cases).
Confidence score
Section titled “Confidence score”A measure of how sure a calculation or extraction is about a value. In QBO, scoring and AI extraction store a confidence for each value, and item weights roll those up into an overall confidence for the score.
A worklist can pick up scores below a confidence you choose and route them to a person for review. See Scoring.
Document automation
Section titled “Document automation”Using software to handle documents without manual handling at each step: capture, filing, storage, moves, and text extraction. In QBO, documents are stored with the record they belong to, in the storage you choose, and watch folders can file new documents under the right template and record automatically.
See document automation in QBO and Document Management.
Document generation
Section titled “Document generation”Producing documents from your data with templates, sometimes called mail merge. In QBO, document templates merge data into Word, PDF, Excel, CSV, HTML, and other formats, and large runs can be queued.
See document automation in QBO and the claim document walkthrough.
Exception management
Section titled “Exception management”Finding the items that need a person’s attention and making sure each one gets it, tracked to resolution. In QBO, worklists can be created on the fly and exception items added to them, then assigned by rule like any other work.
See work queue management and Worklists.
Human in the loop
Section titled “Human in the loop”Keeping people involved where judgment, approval, or accountability is needed when software or AI does part of the work. In QBO: AI where you trust it. People where you need them. Your rules decide which.
The same assignment rules route work to people or to an AI agent with its own user account, a worklist can send low-confidence results to a person for review, and worklist audits sample completed work. See how work is routed to people and agents.
Intelligent document processing (IDP)
Section titled “Intelligent document processing (IDP)”Software that turns documents into usable data: it splits multi-document packages, classifies each document, and extracts the fields you need. Unlike plain OCR, it understands which document it is reading and which values matter.
QDocs is Quandis’s IDP product: it extracts values with a confidence for each one and routes uncertain results to people. See QDocs.
MLA (Military Lending Act)
Section titled “MLA (Military Lending Act)”A federal law that limits the cost and terms of consumer credit extended to active-duty servicemembers and their dependents, including a 36% cap on the military annual percentage rate. Creditors check a borrower’s covered status, commonly against the Department of Defense’s records.
See SCRA and MLA verification with Military Search.
OCR (optical character recognition)
Section titled “OCR (optical character recognition)”Converting an image of text, such as a scanned page, into machine-readable text. OCR makes documents searchable but doesn’t know what the text means.
In QBO, OCR makes document contents searchable and usable in rules. For splitting, classifying, and extracting data, see intelligent document processing.
Public Access to Court Electronic Records, the federal judiciary’s system for searching federal court records, including bankruptcy filings and dockets.
Bankruptcy Search searches PACER in real time or in batch, and monitors accounts for new filings and docket changes. See Bankruptcy Search.
Quality sampling
Section titled “Quality sampling”Reviewing a sample of completed work to check its quality, instead of rechecking everything. In QBO, worklist audits sample completed items by rule and route the audit items to reviewers like any other task.
The same audits apply whoever completed the work, a person or an AI agent. See Worklists.
Role-based access control
Section titled “Role-based access control”Granting permissions by role rather than person by person, so a user can do what their roles allow. In QBO, users sign in with a password, single sign-on, or (for systems) an API key, and roles and group access decide what each can do.
See Security.
Row-level security (extranet access)
Section titled “Row-level security (extranet access)”Restricting which individual records each user can see, not just which screens. In QBO, extranet security filters every screen and API call by row, so vendors, outside counsel, agents, and clients can work in your system and see only the records they’ve been granted.
See partner portals and role-based access.
Rules engine
Section titled “Rules engine”Software that makes decisions from rules you maintain rather than from code. In QBO, weighted matrix rules choose workflows, pricing, and assignments from a record’s data, and business rules validate every save.
See Business Rules.
SCRA (Servicemembers Civil Relief Act)
Section titled “SCRA (Servicemembers Civil Relief Act)”A federal law that protects servicemembers on active duty, including a 6% cap on interest for debts incurred before service and limits on default judgments, foreclosures, repossessions, and evictions. Businesses check active-duty status before taking those actions.
See SCRA and MLA verification with Military Search.
Template
Section titled “Template”In QBO, the definition of a kind of record: a process, a workflow, a document, a message, or a form. Templates are how QBO is configured instead of coded, and they act as a security layer, make creation repeatable, and keep behavior consistent.
See templates in QBO and Templates.
Work queue (worklist)
Section titled “Work queue (worklist)”A list of work items waiting for someone, served in priority order. In QBO, smart worklists assign each item to a team, person, and priority by rule, and each person clicks “Next” to get the most important item waiting for them.
See work queue management and Worklists.
Workflow orchestration
Section titled “Workflow orchestration”Coordinating the people, systems, documents, and AI involved in a process, so each step starts at the right time, with the right data, and its result goes where it’s needed.
In QBO, the case’s workflow runs steps in parallel as their prerequisites are met, measures due dates in business time, and calls any system operation as a step. See the workflow orchestration platform and Workflow.
