Your work lives on the Worklists dashboard. It shows every worklist, team, or person you can see, with counts you can click to list the items behind them.

Column Meaning
Items All items in the worklist, team, or person
Pending Items not yet completed or cancelled: queued, started, and skipped
Queued Waiting, and nobody has started them
Started Someone has started, but not finished
Skipped Started, then postponed to a later date
Completed / Cancelled Done, or no longer needed

Use the filters (All, Pending, Completed, Cancelled) to narrow the list.

Choose Next (the play icon in the main menu) and QBO opens the most important item you’re eligible for, assigns it to you, and marks it started. You don’t need to pick. QBO chooses in this order:

  1. An item already assigned to you.
  2. Items for the team where your membership has the highest priority. For example, if you’re on Reviewers first and Processors second, you get review work until it runs out.
  3. The item’s priority, then its sequence, then its due date, then the oldest item.

Items that belong to a team you’re not on are never offered to you. Items postponed to a later date stay hidden until that date.

You can also start a specific item from the list with Start.

The item opens the screen your administrator chose, usually a form or the record’s summary page. Then:

  • Finish it. Save the form as complete. Its work item is marked complete, and any workflow step waiting on the form moves forward.
  • Save without finishing. Use Pause to keep your progress. The item stays started and assigned to you.
  • Postpone it. Enter a projected completion date and choose Pause. The item is skipped until that date, then comes back to you.

Some forms show a button for each status they can move to, such as Submit for Review, Approve, or Reject. You see only the moves your role allows. When you choose one:

  • your item is marked complete;
  • a new item is created on the next worklist, such as the supervisor’s queue;
  • if the new status is final (for example Accepted), no new item is created.

If a move isn’t allowed for your role, QBO stops the save and explains why.
