Reports live under Reports on the home menu. You see the reports your role has been given access to; your administrator decides which ones those are.

  1. Open Reports and choose a report. Its description and instructions explain what it covers.
  2. Fill in the prompts the report needs, such as a start and end date. Each report asks only for the values its queries use.
  3. Optionally rename the Report Request (it defaults to “New report name Request”) so you can find it later.
  4. Choose a Schedule:
    • Run once queues the report straight away.
    • Run weekly runs it on the weekdays you tick, at the time you choose.
    • Run monthly runs it on, for example, the 1st Monday or the last Friday of each month, at the time you choose.
  5. Check the Recipients. Your own email address is filled in; type more addresses to add them.
  6. If your administrator has set up more than one processing queue, you can pick a Queue. Otherwise leave the default.

The report runs in the background, so you can carry on working while it runs.

Report Requests lists your requests with their status and timing:

Column Meaning
Queued When the request is next due to run. For a scheduled request, this moves forward after each run.
Started / Completed When the most recent run began and finished. While it runs, the status is In Process.
Delivered When the results were last emailed.
Recipients Who receives the results.
Schedule The recurrence, if any.

Open a request to see its Documents (the output files from each run) and Messages (the delivery emails that were sent).

To stop a scheduled report, delete the request, or set its status to one your installation treats as final (closed). A request in a final status is not run again.

When a run finishes, each recipient gets an email with the report results. The email doesn’t carry the data itself; it lists secure download links, one per output file, and you must sign in to QBO to open them. If the report found nothing, the email says so.

Most reports produce one Excel workbook per query. Some produce a formatted document instead, such as a PDF summary, depending on how the report was built.

Output files are stored on your request. Other people who run the same report get their own requests and files; by default a request can be opened only by the person who created or requested it and by administrators.

Most search panels in QBO include Export to Excel. It exports the rows that match your current search, with the panel’s filters applied. Your administrator can provide a custom layout for an export (choosing columns, renaming headings, adding formulas); otherwise every column is exported with its standard name.

Your landing page may include dashboards: tabs of charts and tables that summarize work, such as open items by status or completions by month. Use the prompts and filters across the top of a dashboard to narrow it (for example, by date range), then refresh it. Where the dashboard includes a results panel, it lists the matching records.
