Messages live in the Messages panel of the record you’re working on: emails sent from QBO, emails received and linked to the record, and replies to both. Because they’re stored on the record, anyone with access to it can see the whole conversation, not just the person who sent it.
Read messages
Section titled “Read messages”- Select a message’s subject to open it in a popout panel.
- Messages you haven’t opened are shown as unread. Use Mark Read or Mark Unread on selected messages to keep track of what still needs attention.
- Documents that arrived with an email are saved as documents and linked to the message, so you can open them from the message or from the record’s Documents panel.
Send a new message
Section titled “Send a new message”- Choose New Message in the Messages panel.
- In To, enter contacts from QBO or type email addresses. Add Cc and Bcc recipients the same way.
- Enter a subject and the body of the message.
- To add documents, attach a document that’s already on the record, or upload a new file from your computer.
- Send the message. It’s saved to the record, and each recipient’s sent date is recorded.
Use a message template
Section titled “Use a message template”When you start a message from a template, QBO fills in the subject and body and replaces merge fields (such as the record’s reference number or a contact’s name) with the record’s actual values. It may also add the standard recipients for that kind of message. Review the result, change anything you need to, and send.
Reply and forward
Section titled “Reply and forward”- Reply answers the sender. Reply all includes everyone on the original message.
- Forward sends the message, with its attachments, to someone new.
Replies are threaded to the original message, so the conversation on the record reads in order.
Keep a copy as a document
Section titled “Keep a copy as a document”A message can be saved as a PDF document on the message, with its subject, sender, recipients, date, and body. This is useful when a conversation needs to go into a package or be kept with other records of the case.
