AI options appear in QBO only where your administrator has turned them on and your role has permission to use them. Each one works on the records in front of you and saves its result back to QBO, where you can check it.
Documents
Section titled “Documents”Select one or more documents in the Documents panel, then choose from the menu:
- Classify works out which kind of document each file is (for example, an application, an invoice, or a signed agreement) and sets its document template, so it’s filed and routed correctly. If a document has no text yet, QBO can read it first (OCR).
- Transcribe turns an audio recording (mp3) into text and adds it to the document’s description, so the call can be searched and reviewed.
Both run in the background. Refresh the panel to see the results.
Reply to an email with AI
Section titled “Reply to an email with AI”When you reply to an inbound message:
- Select the Reply icon on the message.
- Check Generate response using AI. Check Reply all to copy everyone on the original.
- Choose Save. QBO drafts a reply using the message and the data on the record it belongs to, and opens it for editing.
- Read the draft, correct anything that’s wrong, and send it as you would any message.
The draft is a starting point. Nothing goes out until you send it.
Ask a reporting question in plain English
Section titled “Ask a reporting question in plain English”On the ad hoc reporting page, set Query to Advanced:
- Type your question in the prompt box, for example “Open claims over $10,000 assigned to the West team, by adjuster”.
- Select the icon next to the box. QBO writes a SQL query and places it in the query editor.
- Review the query, then run it as usual.
If your question is ambiguous, QBO answers with a note or a clarifying question instead of guessing. QBO checks that each generated query only reads data and fits your database before showing it to you. If it couldn’t confirm that, you’ll see a warning: review the query carefully before running it. Nothing runs until you run it.
AI working behind the scenes
Section titled “AI working behind the scenes”Much of QBO’s AI runs inside workflows rather than from a menu. You’ll see its results as ordinary data on the record:
- Scores with values extracted from a document, and how confident the model is in each one.
- Labels such as a preferred language or the tone of a message.
- Review memos saved as messages on the record, before it moves to the next step.
- Forms already filled in from the record’s data, ready for you to check.
