From Docs to Data: Turning Documents into Orchestrated Work

· Quandis · 2 min read

Documents are at the center of every operation. Loan files, statements, applications, correspondence, and policies carry the facts that decisions depend on. But manual review, inconsistent formatting, and slow file handling can bottleneck even the most efficient teams.

The problem isn’t that documents are hard to store. It’s that the information inside them isn’t usable until someone reads it. A document sitting in a folder can’t trigger a task, satisfy a checklist, or update a record on its own. Until it’s turned into structured data, every downstream step waits on a person.

Quandis Intelligent Document Processing (IDP), now known as QDocs, turns important documents into actionable, orchestrated data that moves your workflows forward.

What intelligent document processing delivers

OCR and AI to extract and structure data

OCR makes every page searchable. AI goes further, reading the fields you define and returning them as typed values (dates, amounts, yes/no answers, and text), each with its own confidence. When layout, tables, or handwriting carry the meaning, the model can read the original PDF or image instead of OCR text alone.

Automatic classification and indexing

Each incoming document is classified against your document types and filed on the record it belongs to. Mixed packages are split into individual documents first, and bulk-loaded files can be indexed to the right type and record from their file names. Duplicate files are caught by file hash before they’re processed twice.

Visibility into missing or inconsistent information

Once documents are classified and their data extracted, gaps become visible. Rules can check whether a record has every document it requires, and whether extracted values are missing or uncertain. Anything that needs attention goes to a worklist, with the source document beside the value, instead of being discovered late in the process.

Routing through QBO orchestration

Because document processing runs on the QBO Platform, extracted data lands as ordinary data on the record. Workflows, rules, and worklists act on it immediately: opening a case, generating a letter, notifying a partner, or sending an exception to the right reviewer.

A centralized, audit-ready repository

Every document stays attached to the record it belongs to, in the storage you configure, such as Amazon S3, Azure, Google Cloud, or sFTP. The document, its extracted values, and every review decision sit in one audit trail, so the history of a record can be reconstructed when an auditor or investor asks.

Built for operating at scale

Whether you’re handling financial documents, customer communications, or other digital media such as recorded calls, the requirement is the same: structure, automation, and visibility. A single document can be processed in real time, and a backlog can be queued and processed in batches with the same configuration.

The outcome isn’t just faster reading. It’s an operation where documents feed decisions directly, and people spend their time on the exceptions that need them.
