What Happens When a Loan Document Packet Reaches QDocs

· Quandis · 3 min read

Most people hear “document processing” and picture a scanner and some OCR software. What QDocs does looks nothing like that.

OCR answers one question: what text is on this page? A servicing operation needs answers to several more. Which documents are in this packet? What type is each one? What do they say about the loan? And what should happen next? This walkthrough follows a mixed document packet through QDocs in a mortgage servicing environment, from the moment it arrives to the moment the right team has work in front of them.

Step 1: The packet arrives

The packet might be 40 pages. It might contain a note, a deed of trust, a loss mitigation application, and borrower correspondence, all in one file. It could come in through an upload, the API, inbound email, or a watched sFTP or cloud folder. However it arrives, it’s saved as a document on the loan, in the storage you configure.

Step 2: QDocs finds the document boundaries

QDocs identifies where one document ends and the next begins. A multimodal model reads the packet and returns its segments, and each segment is saved as its own document, linked to the original packet. There’s no manual prep and no indexing before processing can begin.

Step 3: Each document is classified

Each document is matched to one of your document types. QDocs doesn’t depend on fixed, layout-based templates that break when a form changes. Instead, you describe each document type in plain English, the way you’d brief a new colleague, and the model uses that description to decide. When a lender changes the layout of its note, the description still fits, and adding a new document type is a configuration change, not a training project.

Step 4: Data is extracted with confidence scoring

The fields you define for each document type, such as dates, amounts, names, and yes/no answers, are extracted as typed values. Every value comes back with its own confidence, and the document gets a weighted confidence across all of its fields.

That confidence is what makes the next step safe to automate. Rules decide what happens: high-confidence results route automatically, and low-confidence or missing values go to a worklist, where a person checks them with the source document beside the value.

Step 5: The data starts the next workflow step

The extracted data lands on the loan as ordinary data, so the next step in QBO can act on it immediately. A loss mitigation application opens the review workflow. Borrower correspondence goes to the team that answers it. The right people are notified, the right process opens, and the audit trail is already built, because every stage ran inside the same system that holds the loan.

From packet received to workflow triggered

For documents that come back with high confidence, that whole path runs from packet received to workflow triggered without a person touching it. The people on your team spend their time on the results that genuinely need judgment, rather than on sorting, keying, and routing.

The LinkedIn version of this post included a short explainer video (created with the help of NotebookLM) that walks through the same five steps visually.

If the problem you’re solving starts even earlier, with simply knowing what a bundled file contains, see why splitting comes before everything in a loan file. For the full seven-stage pipeline, read the QDocs document pipeline overview, or schedule a live QDocs demo to see a packet processed end to end.
